Privacy policy
The short version
- We collect what we need to run RoadQC for you: your contact details, the plan sets you submit and the findings.
- Your plans are never used to train AI models, by us or by our AI provider.
- Free-trial uploads are deleted 30 days after each run. You can ask us to delete anything at any time.
- We do not sell your information.
1. What we collect
- Contact and account details: name, work email, firm and role, and the messages you send us.
- Plan sets and documents you submit, or links to public plan sets you ask us to check.
- Findings and review decisions: the findings RoadQC produces and whether you accept, reject or assign them.
- Payment details: handled by our payment processor. We do not store card numbers.
- Basic technical data: such as IP addresses and browser type in server logs, used to keep the service secure.
2. How we use it
- To run checks on the plans you submit and deliver the results to you.
- To answer your messages and provide support.
- To bill for the full version.
- To improve RoadQC's checks, using findings and your accept or reject decisions. We do not use your plans to train AI models.
- To keep the service secure and meet legal obligations.
3. AI processing
Every RoadQC run, including sample reviews and free trials, sends sheet images and text to an AI model provider, Anthropic, through its commercial API to produce and check findings. Anthropic's commercial terms do not allow it to train models on content sent through its API.
4. Who we share it with
We share information only with service providers that help us run RoadQC, under their own confidentiality and security obligations:
- Cloudflare, for website hosting, file storage and email routing.
- Anthropic, for the AI review in the full version.
- Our payment processor, for billing.
We may also disclose information if the law requires it. We do not sell or rent your information, and we do not share your plans or findings with other customers.
5. How long we keep it
- Free-trial uploads: deleted 30 days after each run. Your findings summary stays in your account until you delete it.
- Customer plan sets and findings: kept while your account is open so you can track comments between milestones, and deleted within 30 days of your request or of your account closing.
- Accept and reject decisions may be kept in a form that no longer contains your plans or identifies your project, to improve RoadQC's checks.
- Billing records: kept as long as tax and accounting law requires.
6. Security
Plan sets are encrypted in transit and at rest and are accessible only to your account and to us for support. No system is perfectly secure; if we learn of a breach affecting your information, we will notify you as the law requires.
7. Your choices
You can ask to see, correct or delete your information, or close your account, by emailing hello@roadqc.com. We reply within one business day and complete deletion requests within 30 days.
8. This website
roadqc.com does not use advertising or tracking cookies. Its fonts load from Google Fonts, which receives your IP address when a page loads.
9. Changes
We will post any changes here with a new effective date, and tell customers by email about material changes.
